Working at Keys-Caldwell · Venice, FL

We hire deliberately - and retain by default.

Keys-Caldwell has 50+ communities under management and a team built to hold them, not to grow into the next 50. Most of our managers have been with the firm for a decade or more. Our average client tenure is over 20 years, and that math only works because the manager who attended the 2006 budget meeting can still be in the room in 2026.

If you're a career-track community association manager, an accounting professional with association experience, or an operations lead who wants to work on coastal capital projects - read what's below before you send anything. We are honest about what the firm is and isn't.

Open positions

What we're hiring for.

We post roles when we have a real seat to fill and a real budget for it - not to build a pipeline. If the list below is empty, it's empty. We respond to every applicant within two weeks regardless of fit.

Working here

Things that are true here.

01
One named manager per association.

Every association has a single named manager who attends every meeting, owns the documents, and is the board's first call. That means our managers carry 6–10 communities, not 18–25. The book is small enough to know the building, the board's history, and the reserve schedule by memory.

What this means we don't do: We don't run a 'pool model' where boards get whichever manager picks up the phone. We don't rotate. Tenure is deliberate.
02
Credentials are paid for.

CAM continuing education, CMCA, AMS, PCAM, Reserve Specialist, accounting CPE - the firm pays for it, schedules it, and protects time for it. If you sit for an exam during business hours, that's billable to your professional development line, not to your PTO.

What this means we don't do: We don't expect you to fund your own credentialing or do it on weekends. The licenses are why boards trust us; that's a firm cost, not a personal one.
03
Documentation discipline is the job.

Every meeting has minutes. Every property walk has photos. Every vendor scorecard is written down. The thing that makes a 20-year client tenure possible is that the next manager inherits operating context, not legacy gaps. If you find that kind of work satisfying, this firm is going to fit you. If you find it tedious, you'll be unhappy here within six months.

What this means we don't do: We don't run associations on tribal knowledge. A manager who can't be replaced is a liability, not an asset.
04
Boundaries on board contact.

Boards can reach a real person at the firm 24/7 for emergencies. They cannot reach their named manager at 9pm on a Saturday for a non-emergency. The on-call rotation handles after-hours calls; the named manager handles next-business-day follow-up. We protect your weekends so you stay here for years.

What this means we don't do: We don't run a 'always-on' culture. We run a 'always-covered' culture. There is a difference.
What's offered

Six things we won't compromise on.

01

Compensation

Above-market base for the Sarasota CAM market - we benchmark against the largest regional firms and pay at the 75th percentile for tenure-equivalent roles. Annual review every January, not on hire-anniversary.

02

Health & retirement

Firm-paid health insurance for the employee (75% paid for dependents). 401(k) with 4% firm match, vested immediately. Short and long-term disability included at no cost.

03

Time off

20 days PTO from day one (not accrued). 10 paid holidays. We close the office between Christmas and New Year's; that week is paid and not deducted from PTO.

04

Tools & infrastructure

Vantaca for owner portal & ARC, a national accounting platform, a reserve-study continuum, full Microsoft 365 stack, firm-issued laptop and phone. You don't BYOD or expense your own software.

05

Training & credentials

Firm pays CAM continuing education, CMCA, AMS, PCAM, Reserve Specialist, and accounting CPE. Time during business hours is billable to professional development, not PTO.

06

Pace

Manager portfolios cap at 10 associations. We don't accept new clients past that line, even when revenue would go up. The book is the book.

How we hire

What the process actually looks like.

Step 01

Email + résumé

Send a résumé and a one-paragraph note about what's drawing you to the firm. Cover letters not required; we'd rather see the paragraph in the email body.

Step 02

30-minute call

A first conversation with the principal hiring for the role. Background, what you've done, what you're looking for. Mostly listening on our end.

Step 03

On-site half-day

Come to the Venice office for a half-day. Meet the team, sit in on a working session, see how the firm actually runs. Lunch on us.

Step 04

Decision in 5 days

We commit to a yes-or-no decision within five business days of the on-site. Offers include base, benefits, PTO, and a one-page operating-norms summary so there are no surprises in week one.

From the team
I joined Keys-Caldwell as my second CAM job after burning out at a 25-association portfolio at a national firm. I'm at 8 here. The boards know me, the buildings know me, and I haven't worked a Sunday in three years. The retention math works because the work is sustainable.
Senior Manager · 7-year tenure
